SGPA covers a semester; CGPA is cumulative

GPA weights grade points by course credit units. SGPA covers a semester; CGPA covers eligible accumulated results through the latest term. Do not simply average your previous SGPAs.

Add grade points multiplied by credit units for each included course, then divide by the included credit units. First identify eligible grades; repeated courses and special arrangements follow the applicable regulations.

Log in with EID, then AIMS → Student Record → My Academic Record → Grade Display. Select your programme/term and read each course’s credits, grade, GPA Hours and Points. Verify SGPA/CGPA against this published record; Canvas marks are not necessarily the published final course grade.

GPA is truncated to two decimal places, not rounded. A failed or D-grade course/equivalent may normally be repeated at most twice after the first attempt. All attempts remain on the transcript; only the latest enters CGPA. Do not erase an earlier F from the original SGPA/transcript. A third failure in a required course can lead to termination; contact your advisor immediately.

D / F1.0 / 0.0; F is included in GPA.

Credit, exemption and GPA inclusion differ

Read credit units alongside the grade notation. Transfer credit and course exemption both affect planning, but they are treated differently.

The usual distinction between TR and Z
NotationCredit and GPA treatment
TR: transfer creditCounts towards approved degree credit requirements; normally excluded from GPA, with possible special arrangements
Z: exemptionAwards no credit and is excluded from SGPA/CGPA; minimum degree credits still apply

Check your study load before choosing courses

The undergraduate rules distinguish full-time, part-time and Summer Term study. Obtain approval through the University process for an exception; submitting a request does not itself grant permission.

Apply through AIMS → Course Registration → Application for Add/Drop of Non-Web-enabled Course & Study Load Adjustment, with reasons and supporting documents. Discuss the plan with your advisor under Student Record → My Advisor / Mentor and My Mentees. After approval, check the permitted load under Web Add/Drop → Course Registration Records. An enquiry email is not an application or approval.

Undergraduates other than Advanced Standing II students may take one extra credit for compulsory GE1601 in Semester A of their first year. This is a specific exception, not a general 19-credit allowance. The Semester A 2026/27 adjustment deadline was 12 September 2026 and has passed; use the relevant window for another term. Non-local students must also satisfy the applicable full-time/student-visa conditions.

General undergraduate study-load limits
CategoryCredit-unit limit
Full-time: Semester A/BNormally at least 12 and no more than 18
Part-time: Semester A/BNo more than 11
Summer TermNo more than 7

Award classification and Dean’s List have separate rules

The table gives the indicative AR17.3 bands; the Dean may make exceptions on the academic unit’s recommendation. Students admitted in 2020/21 onwards need a minimum graduation CGPA of 2.00: the older-cohort Pass band does not apply to them. Specified older cohorts under AR17.4 follow separate rules.

Dean’s List is not automatic from a GPA alone. General conditions also include at least 12 CityUHK credit units in the assessment period, GPA of 3.70 or above, no failures and the Dean’s endorsement. Part-time students are assessed across Semesters A and B together.

First choose the regime by entry route: AR17.4 covers normal programmes of four years or longer entered in 2020/21–2023/24, Advanced Standing I entered in 2021/22–2023/24, and Advanced Standing II entered in 2022/23–2023/24. Within the department/school graduating in the same term, the top 2% receive summa cum laude, the next 5% magna cum laude and the next 8% cum laude. Other students use the AR17.3 indicative classifications. Previous cut-off GPAs cannot guarantee a future ranking.

Respond to your academic standing

Standing is assessed after Semesters A/B. With no more than three credits it normally remains unchanged, and outstanding grades may change the decision. Warning, Probation and Suspension are notified; Review means referral to the academic unit, not an automatic suspension.

  1. Read the conditions

Record the standing, next-term load/grade conditions and reply deadline. Contact your advisor immediately for Probation/Suspension.

  2. Discuss with records

Find the advisor in AIMS My Advisor / Mentor and My Mentees. Bring grades, outstanding requirements and a next-term plan. Ask ARRO at 3442 2300 / as@cityu.edu.hk if the contact is unclear.

  3. Verify the arrangement

Keep the confirmed registration/improvement plan and check AIMS standing/timetable. Raise discrepancies within the notified period.

Incorrect official result: request review within the deadline

Distinguish a recording/calculation error or procedural issue from disagreement with academic judgment. Wanting a higher mark is not a valid ground. A review may raise, lower or leave the grade unchanged. Count working days from the official announcement, rather than waiting until the next semester.

  1. Contact the Course Leader within five working days

Within five working days of grade announcement, email the Course Leader with course/term, grade, suspected omitted mark or calculation error and evidence. Ask for correction of the specific issue. The result should be notified no later than 13 working days after grade announcement.

  2. Submit formal grounds within 22 working days

For a procedural irregularity or qualifying extenuating circumstances you could not raise earlier for valid reasons, submit a written application within 22 working days of grade announcement to the Dean of the course-offering College/School, or CrsVMC Chair for GE hosted by an academic support unit. Include grounds, facts and evidence; confirm delivery with the course office and keep proof.

  3. Use the separate route for a Dean’s decision

For an administrative error in the Dean’s standing/award decision, contact the Programme/Major Leader within five working days of publication. A formal review goes to pvdp@cityu.edu.hk within 22 working days. Keep this separate from a course-grade review, retain correspondence/results and check AIMS updates.

Common questions

Open to read
Does crossing a CGPA band guarantee the award classification?

The bands are general guidelines. You must also meet graduation and programme requirements, and classification follows the University process. They are not advance confirmation of an award.

Is there one GPA threshold that always triggers academic warning?

CGPA alone is insufficient. Section five lists common changes using previous standing, SGPA and CGPA; a Review is decided by the academic unit. Find your advisor in AIMS → Student Record → My Advisor / Mentor and My Mentees and discuss the notice with your grades and plan.
