Match the task to the right system
The systems link to one another but have different responsibilities. First decide whether you need academic administration, course learning or University announcements.
| Your task | Where to go |
|---|---|
| Registration, schedules, exams, official results and academic records | AIMS |
| Published learning materials, assignments, quizzes and course announcements | Canvas |
| Frequently used services, information and facilities | CityUHK Portal |
| Send and receive official University email | University Microsoft 365 email |
| University, College/School and Department announcements | CityUHK Announcement Portal (CAP) |
Distinguish EID, student number and email
Your EID identifies you for many University IT services; your student number identifies your student record. Do not automatically enter the student number in every login box. Use the account format and multi-factor verification required by the service.
Student email addresses follow EID-c@my.cityu.edu.hk, including the “-c” after the EID. Open email through IT and Library Services in Portal, and use your University email for official communication.
For mobile email, install Microsoft Outlook from the official app store. In Add Account/Add Email Account enter EID-c@my.cityu.edu.hk, continue to Microsoft sign-in and complete the required password/verification. Confirm your inbox by opening a message. Manual Exchange-server setup is normally unnecessary; the official Android guide is listed below and device labels may vary.
Use the right login name
Use EID at the University login for AIMS, Portal, Canvas and CAP, then your configured MFA. At Microsoft 365 email login, use the full EID-c@my.cityu.edu.hk address.
Reset through your intake route
2026 intake onwards: use the new-intake link and verify through your registered Okta Verify push. 2025 or earlier: use AIMS reset. If the verification device is unavailable, bring your student card to LI 4/F IT Service Desk.
Verify the actual task
A successful login only establishes account access; open the task menu and confirm its record/submission result. Update saved Wi-Fi credentials after a password change.
Check your week in three places
Select the correct term in AIMS and check your registered courses and sections. Then use Canvas for published course material, announcements and assignment deadlines.
The University asks students to check CAP daily. Keep access to your University email for registration, loans, applications and service messages instead of relying only on forwarded screenshots.
For mobile access, install official CityUHK Mobile published by City University of Hong Kong. Sign in for Schedule, examinations, library loans and CAP; Places lists locations including printing areas. If a display differs from registration, verify the term and official AIMS record. App enquiries: apps@cityu.edu.hk.
AIMS: verify formal registration
Select the correct term, then Course Registration → Weekly Schedule for registered courses/components/times. View official grades through the Student Record grade record.
Canvas: open published courses
After login select Courses, find the title under Published Courses, then use Announcements, Modules or Assignments. For a submission, use the specific assignment and verify its receipt/time; the instructor defines its requirements.
Email/CAP: read the complete notice
Check both daily, open the full notice and record the action, deadline and office. Calendar entries or classmates’ screenshots are reminders.
Get help for the affected system
Record the system, time, browser or device, and the error message without including your password. Distinguish a login problem from a course-content problem when asking for help.
For a page that will not open, check connectivity, try a supported browser or sign out/in. Distinguish a failed MFA push, missing record and unpublished course. The student service desk is at LI 4/F, Mon–Fri 08:30–21:30 and Sat 09:00–17:00, closed Sun/public holidays. Include system, course/term, error text, time and attempted steps; keep the ticket number.
If a notice says AIMS/Portal/Mobile access is suspended for an incomplete Anti-Deception Quiz, a password reset will not satisfy that requirement. The 2026/27 deadline was 30 September 2026, requiring 100% accuracy. Open Canvas → Courses → Anti-Deception Quiz, complete the course requirements yourself and retain the completion record. Contact sdssat@cityu.edu.hk about completion status; if already completed but still suspended, send the record and suspension message to student IT.

Need Word, Excel or PowerPoint? Install the student licence
Regular full-time and part-time students at associate-degree level or above can use the University Microsoft 365 Apps licence during their studies on up to five personally used PCs/Macs and five mobile devices. This is not a free Windows operating-system licence or a permanent graduate entitlement; connect at least every 30 days for eligibility verification.
Windows/development tools have separate eligibility: the CS programme covers CS users and CityUHK students taking at least one CS course, not every student automatically. Eligible users sign into Azure Portal with their University Microsoft 365 account, open Education → Software, select available software and follow its licence/download instructions. For missing access contact support@cs.cityu.edu.hk / 3442 8689; do not borrow, share or resell another student’s key.
Sign into University webmail
Open the University email link and use your full EID-c@my.cityu.edu.hk address. Switch accounts if a personal Microsoft account is already signed in.
Download and install
In webmail select the nine-dot App launcher → More apps → Install apps → Microsoft 365 apps. Download and run the installer for your computer.
Confirm activation in an app
Open Word or another app and sign in with the same University account. Confirm that editing works. For a missing installer, licence error or device limit, save the message and contact student IT at 3442 6488 / IT.ServiceDesk@cityu.edu.hk.
Common questions
Open to readDoes seeing a Canvas course confirm registration?
Check your current schedule in AIMS for the registration result. Canvas supports learning and does not replace the registration record.
