The ARRO channel in the table mainly covers undergraduate academic administration. Master’s students can contact SGS student records directly at 3442 9014 / tpenquir@cityu.edu.hk for records, transcripts or student ID; research-degree and professional-doctorate matters use the relevant SGS team. SDS counters differ: counselling at BOC 6/F; student life and careers at the sports centre in One Health Tower 7/F; PE at 6/F; Flow Centre at LI G200.

Find faculty, departmental, Language Centre and graduate-school contacts and office addresses directly below. Official English building names match signs; the next section explains YEUNG, LI, LAU, BOC and CMC. Where the directory has no direct line, the table supplies the parent college’s contact.

Start with the outcome you need, then give your student category, programme/course, term, steps tried and exact error. Provide a student/application number only as required by that service, and remove passwords and unrelated personal details from screenshots.

Use this template. Subject: “[term / course or applicant category] + [request] + [actual deadline]”. Body: “I am [name, student/applicant category and programme]. At [date/time], I used [system and steps] and received [exact error]. I have tried [actions]. I need [specific outcome] by [date]. Please confirm the responsible office, required documents and next step.” Attach relevant screenshots or receipts. Give the responsible university channel only the necessary student/application number; exclude passwords, verification codes and unrelated identity documents.

Follow up in the same email thread with the case number, first-contact date and new evidence. If a deadline is today or the next working day, call the listed office and state it. Ask the teacher about assessment content, ARRO about discrepancies in recorded grades or student records, and your department about programme requirements.    State the request and real deadline

   Use the template above for student category, course/term, time, exact error, attempted steps, requested action and actual deadline. Attach the relevant receipt/screenshot.

   Keep acknowledgement and check the outcome

   Retain the case reference, appointment or reply. Follow up the same thread with new evidence and confirm the responsible office after a referral. For applications/payments, verify the actual system record before considering the task complete.
